OFFICE MANAGER/BOOKKEEPER

The Ojai Valley Land Conservancy (OVLC), an Accredited Land Trust serving the communities of the Ojai Valley in Ventura County, seeks an experienced full-time Office Manager/Bookkeeper (32 hrs/wk) to join a staff of 10 in our Ojai, CA office.

The OVLC is a well-known and active non-profit organization in the Ojai Valley. It is supported by local donations and grants for conservation and land restoration projects. Established in 1987, the OVLC has conserved 2,300 acres of land in the Ojai Valley; 2,000 of which are open daily for public access on 27 miles of managed trails. The organization reaches conservation goals by leveraging our staff resources with a large and growing volunteer base.

POSITION SUMMARY

The Ojai Valley Land Conservancy’s Office Manager is primarily responsible for maintaining the organization’s financial records; accounts payable and accounts receivable, profit & loss, cash flow, and other financial activities. In addition, the Office Manager coordinates human resources activities and maintenance of employment files, insurance policies, and is responsible for maintaining a well-supplied office. The successful candidate will also provide administrative support to the Executive Director. There are also outreach related responsibilities for events and volunteer coordination.

This position is supervised by the Executive Director, provides support to the Director of Advancement, and works closely with other OVLC staff. The Office Manager supervises no OVLC staff, but may direct contractors, volunteers, and interns.

ESSENTIAL BOOKKEEPING FUNCTIONS (55%)

  • Accounts Receivable: Prepare monthly invoices for grants, monthly transfers for restricted fund billing, and enter deposits into QuickBooks ensuring proper classification of income
  • Accounts Payable: Classify, enter, and pay bills, write checks, and file receipts
  • Track restricted and unrestricted expenses
  • Manage payroll, payroll taxes, and employee benefits
  • Prepare monthly profit & loss, balance sheet, and other financial reports
  • Prepare and make deposits
  • Coordinate financial information for the end of year tax preparation and outside audit

ESSENTIAL OUTREACH SUPPORT FUNCTIONS (15%)

  • Serve as the organization’s gatekeeper: greeting guests, answering phones, answering and directing general email inquiries, and managing volunteer inquiries and public information requests
  • Management of the OVLC Docent Program and connecting docents with staff-driven projects and outside group tour/volunteer requests
  • Scheduling hikes and walks with docents
  • Support the development team in fundraising and ensuring continuity and reconciliation between the bookkeeping system and donor database for gift tracking
  • Support the development team in the staffing and coordination of public outreach events
  • Recruit, coordinate training, and steward volunteers/docents
  • Oversee California Naturalist Trainings

ESSENTIAL OFFICE MANAGEMENT / HR FUNCTIONS (30%)

  • Manage, troubleshoot, and secure service as needed for office equipment, including phone system, computer system, copy machines, and printers
  • Maintain office organization and OVLC records, including ensuring proper use of record-keeping systems, ensuring adequate supplies inventory
  • Manage annual organizational registrations for non-profit status
  • Maintain written standard operating procedures
  • Coordinate employment paperwork for new and departing employees
  • In coordination with the Executive Director, oversee and coordinate OVLC insurance policies, including the solicitation of bids, management of all claims, and insurance certificate requests
  • Manage the office calendar

IDEAL KNOWLEDGE / SKILLS / EXPERIENCE

  • Advanced knowledge of QuickBooks and accounting principles
  • Knowledge of human resources and California employment laws
  • Experience in financial management/accounting, non-profit sector preferred
  • Excellent written and verbal communication skills and outgoing personality
  • Strong attention to detail and organization
  • Ability to manage multiple complex tasks with minimal supervision
  • Knowledge of common office software (MS Office, G Suite, Box)
  • Bachelor’s degree or equivalent experience in business or accounting
  • Familiarity with the Salesforce platform
  • Experience managing the work of outside contractors

WORKING CONDITIONS / PHYSICAL EFFORT

Work requires only minor physical exertion and/or physical strain and the work environment involves infrequent exposure to outdoor elements. The Office Manager must have the ability and willingness to work long hours, evenings, and weekends at times.

To the OVLC Executive Director.

COMPENSATION

The OVLC offers an hourly salary based on experience, and offers a generous benefits program that includes paid time off, health insurance contribution, and matching simple IRA contributions.
